I ditched my paper planner for Gemini Live — and it solved the one professional problem I couldn't fix

I have a confession: I am a "paper person." Despite spending my days testing the cutting edge of generative AI, I’m the one in meetings with a pen and physical planner, taking notes and writing down dates. There’s tactile satisfaction in crossing out a completed task that a digital checkbox just can't replicate.

Well, at least that’s what I thought.

Lately, my schedule has become a multi-hyphenate nightmare. Between tracking the latest LLM updates, managing my kids crazy schedules and juggling side projects, my paper planner started to look like a chaotic Rorschach test of scribbled-out dates. In other words, the thing that was supposed to keep me organized was itself chaotic.

Last week, I tried something that I still can’t believe I let myself do. I left my planner in my desk drawer and moved my entire morning "brain dump" to Gemini Live. Here is why this shift is the productivity hack I didn't know I needed.

1. It turns "dead air" into a strategy session

As a busy professional, my most productive thoughts often happen when I’m away from my keyboard — usually while making dinner or out on a run. In the past, those ideas would vanish or I’d have to fumble to find a pen.

With Gemini Live, I just talk. I told Gemini, "I need to prep for the book festival where I’m doing a book reading, but I also have two AI news stories hitting embargo on Tuesday. Oh, and how do I fit in my book review for Reader Views?" Instead of me staring at a grid, Gemini talked me through a logical flow, prioritizing the high-stakes editorial work while carving out creative blocks for my author life.

Because I have Personal Intelligence enabled, Gemini Live pulls from my calendar, email and even Google Docs to keep me on track. The first time it reminded me of an invite that had slipped my mind, I knew I wasn't going back to my old planner.

2. The "interruption" factor is a game changer

Traditional voice assistants are rigid and not entirely accurate. If you stop mid-sentence, they fail or try to start over. But Gemini Live feels like talking to a real executive assistant.

When I was planning my week, I realized I had a conflict with a guided wine tasting I’d booked for mid-May. I interrupted Gemini mid-sentence: "Wait, scratch that, I’ll be at a baby shower that weekend. Let’s move the script deadlines up so I’m clear by Friday." Gemini didn't blink. It adjusted the context of our entire conversation instantly.

3. It bridges my professional and personal worlds

The struggle for anyone, especially parents, is context switching. My paper planner required me to manually flip between "Work Amanda" and "Mom Amanda."

Because Gemini Live has access to my workspace, it already knows about the emails I’ve sent and the calendar invites. It’s the first time my "planner" has actually been smarter than me. It reminded me of a follow-up for a speaking gig while I was actually asking it about my cat’s vet appointment.

The takeaway

I’m not going to lie and say this is the end of my Moleskin addiction. I love the smell of a fresh notebook and will always give them out as presents. But as an AI Editor, I’ve realized that my time is too valuable to spend it on manual data entry. Gemini Live has really changed the game for me and turned into a version of my planner that I never knew existed.

The ability to talk to my planner and have it talk back to me like a real assistant makes me feel like a CEO. It’s a conversational partner that handles the "mental load" of organizing so I can focus on the actual writing and being a better parent.
