Sebi revamps Document Number Verification System, adds subject matter as mandatory field

The capital market regulatory stock exchange board of India (Sebi) has revamped its “Document Number Verification System”, adding the subject matter of a Sebi letter as a mandatory field for verification of a physical letter or notice.

Sebi had launched the “Document Number Verification System” in April 2025 and had issued a press release in this regard on April 3, 2025.

According to Sebi’s latest circular, the system has now been modified “in order to strengthen and increase the credibility of the authentication done”. The system has also been aligned with the Outward Number format generated through the outward module of Sebi’s E-Office system.

Under the revamped system, the recipient of a Sebi letter, or any person acting on their behalf, can verify whether the letter was issued by Sebi. The facility covers letters including notices and show cause notices.

"In order to strengthen and increase the credibility of the authentication done, the “Document Number Verification System” has now been modified to include the 'Subject Matter’ of a Sebi letter as one of the mandatory fields required for verification of a physical letter/notice. Further, the system has also been aligned with the Outward Number format generated through the outward module of the E-Office system in Sebi," Sebi said in its latest circular.

To carry out the verification, the user has to validate their credentials and enter the mandatory details of the letter. These include the outward number, the name of the Sebi official issuing the letter, the date of the letter, the subject matter and the name of the recipient.

Sebi has clarified that such verification “does not constitute a verification of the contents of that letter.”

If the correct details are entered, the system will return a confirmation that the letter or communication with those details had been issued by Sebi. If the details do not match, the system will indicate that “no record is found” and advise the verifier to either enter the correct details or seek confirmation by sending an email to Sebi at [email protected] .

Sebi said that as the revamped system is operationalized from September 2026, any communication issued prior to that period may be verified by sending an email with the necessary details to [email protected] .

The “Document Number Verification System” continues to be available on the home page of the Sebi website under “Authenticate Document Number Issued by Sebi”. A detailed Guidance Note on the usage of the system is also available on the same webpage.
